Roles & Responsibilities

  • Greet and assist visitors with a warm and welcoming demeanor, ensuring a positive first impression of the company.
  • Manage incoming calls and inquiries efficiently, directing them to the appropriate departments or personnel.
  • Maintain an organized front desk area, ensuring all materials and resources are readily available for use.
  • Handle appointment scheduling and calendar management for executives, ensuring optimal time allocation and efficiency.
  • Process and distribute incoming and outgoing mail and packages promptly, maintaining clear records for tracking.
  • Utilize office management software to update and maintain client databases and contact lists accurately.
  • Coordinate and support logistical arrangements for meetings and events, including catering and audiovisual needs.
  • Assist in the preparation of reports and presentations, showcasing strong attention to detail and accuracy.
  • Monitor office supplies inventory and place orders when necessary to ensure uninterrupted operations.
  • Provide administrative support to various departments, demonstrating flexibility and a proactive approach to tasks.

Desired Candidate Profile

  • A minimum of a high school diploma; a degree in hospitality or business administration is preferred.
  • At least 2 years of experience in a receptionist or front office role within a fast-paced environment.
  • Proficiency in English is mandatory; knowledge of Arabic or other languages is a significant advantage.
  • Familiarity with office management software and Microsoft Office Suite to enhance productivity.
  • Strong communication skills, both verbal and written, to effectively interact with clients and team members.
  • Exceptional organizational and multitasking abilities to manage various responsibilities simultaneously.
